The deadline for hotel booking was Friday 23 May. No rooms are available through the system from now on.

Hotel block booking in the Internet Era

We are receiving messages indicating that some hotels offer rooms on the on-line booking circuits at lower rates than the ones announced here.

When rooms were block-booked in the selected hotels, it was underlined that no rooms at lower rates would be found on the internet.

Hotel management confirmed that only very few rooms (2 or 3 maximum per hotel) could be found on the internet whereas their policy is to offer higher rates on the hotel websites.

Of course should you be able to find any offers at lower rates, please feel free to reserve it directly.

The Organizing Secretariat is offering the best available rates obtained by 3, 4 and 5 star hotels and makes sure that all EPAC participants will get their room in the requested category.

Participants will be able to indicate 3 hotels on the list, in order of preference.

Rooms required during pre- and/or post- Conference dates (before 22 June and after 27 June 2008), will be on request and subject to availability.

Info on hostels and other accommodation facilities are provided below for delegates wishing to arrange personally their booking.

Booking conditions through the conference Organizing Secretariat

1. To reserve a room, the payment of a deposit in the category chosen will be mandatory.
2. All payments will have to be net of all bank charges.
3. Only Euro (€) will be accepted. All prices are per room/night, with bathroom/shower, and include breakfast and taxes.
4. Rooms will be allotted on a “first come first served basis”.
5. Requests by phone will not be accepted.
6. After receiving the payment and processing the request, the Organizing Secretariat the office will send a voucher with all reservation details.

Please note that due to this the deposit does not necessarily correspond to the cost of the first night. In all cases the deposit will be deducted from the hotel bill and the Hotel rate is guaranteed to be the one advertised in our Hotel list.

Deposit to be paid

The deposit for the room will be given to the hotel and will be deducted from the total bill. Should the deposit exceed the total bill, participants will be refunded.

Modifications of reservations made through the Organizing Secretariat can be done by sending an e-mail up to 4 weeks before the Conference starts (22 May 2008).

After this date delegates will contact their hotel directly to make any changes.

Cancellation of accommodation and refunds

Any changes and cancellations will have to be communicated in writing to the Organizing Secretariat (epac08online@theoffice.it).

Upon receipt of a written cancellation notice before 30 April 2008, the deposit will be refunded, minus 20% for administrative expenses.

No refund can be made for cancellations after this date.

Possible refunds will be made by bank transfer after the Conference.
